Creating A Custom Event Portal for This Private Equity Firm’s First Fully Virtual Annual Meeting

Longtime Jollity client, Rallyday Partners, hosts an Annual General Meeting for its stakeholders to highlight the year’s achievements and chart a path forward for the following year. Traditionally, this immersive event is held in person, but in 2024, the Jollity team was enlisted to help bring the event fully online. To achieve this, we developed a dedicated, private section of their website to facilitate the event and serve as an information portal for attendees. This included an agenda page outlining the timeline, a speakers page featuring CEO bios and their companies, an RSVP page for attendee registration, and a livestream page to broadcast the event. The goal was to create a polished, user-friendly experience that felt like a natural extension of their brand.

Overview

To take this annual meeting online for the first time, Jollity worked closely with the event’s production team, Imprint. This involved coordinating with speakers, putting together slideshows, and — Jollity’s biggest challenge — building a website that was capable of hosting the event’s livestream and integrating with their existing tech.

Designing a Branded, Interactive Experience

The initial stage of the project was all about design, and this was where we had the most creative freedom. We crafted a visually striking agenda page and an interactive speakers page featuring a dynamic hover effect on headshots to encourage click-through and engagement. Every element was carefully designed to maintain brand consistency, ensuring that this new section felt like a natural extension of the existing website.

Solving the Challenge of Attendee Tracking

Since this was Rallyday Partners’ first fully virtual AGM, one major challenge was accurately capturing attendance. The livestream platform itself didn’t collect viewer data, making it difficult to measure engagement. Our solution? A brief user login to capture attendee name and email address before accessing the livestream page. This solution maintained positive user experience and gave the client a clear picture of live participation.
